The Disclosure of External Professional Activity (DEPA) annual reporting period for 2013 will occur Jan. 15, 2013 through March 31, 2013. The reporting form will be modified to accommodate new regulatory changes. The CU-Boulder campus wants to make sure thatpersonnel who have to file this form, or support the filing process, familiarize themselves the requirements and procedures.

In order to complete the DEPA form you might need to take action prior to the reporting, and certifying, of your responses. If you answer “yes” to either of the two questions below, please read this entire notification for details and instructions. Note, for situations where these questions are relevant, final review and approval of a DEPA report will not occur until the new requirements have been satisfied.This could affect funding allocation/speedtypes as well as research committee approvals.

1. Do you require/recommend self-authored instructional material for a course in which you teach?

2. Are you involved with PHS/NIH sponsored research?

Self-Authored Instructional Material. A process has been adopted for 2013 that addresses the real, potential or perceived conflict of interest that may arise in situations where self- authored instructional material is required/recommended for the author’s course. Specifically, one of the DEPA questions will ask if the instructor has obtained departmental approval via the Use of Self -Authored Instructional Material Approval Form. Please see the COIC website to obtain the form.

PHS/NIH Requirements RE: COIC Education. As of 8/24/12, COIC educational training must occur for all PHS/NIH disclosers, once every four years. The ’s mandatory educational training module is available through SkillSoft. Please see the COIC website for specific instructions regarding accessing this module.

PHS/NIH Requirement RE: Travel Reporting. As of 8/24/12, all travel reimbursement or sponsored travel related to institutional responsibilities must be reported as significant financial interest (SFI). Currently, a separate form is available during 2012. However, beginning 2013, please be prepared to provide these details when you report annually or update the DEPA form. Exclusions from this requirement include travel that is reimbursed or sponsored by the University of Colorado; a federal, state, or local government agency; or another institution of higher education; an academic teaching hospital, medical center or research institute that is affiliated with an institution of higher education.
